This is a critical and strategic role, demanding financial expertise, legal knowledge, and exceptional organisational skills to manage complex international operations.

Key Responsibilities

Executive & Business Management

  • Act as a strategic partner to the Executive Director, ensuring seamless daily operations and decision-making.
  • Manage and oversee international business activities, handling critical projects across multiple time zones.
  • Handle business correspondence in English and Russian with high-profile partners, government bodies, and financial institutions.
  • Support corporate expansion by assisting with company formations, regulatory compliance, and banking operations worldwide.
  • Liaise with external legal advisors and financial institutions to streamline corporate structuring and international transactions.
  • Manage sensitive and high-stakes business projects with discretion and strategic insight.

Financial & Legal Administration

  • Prepare invoices, process payments, and manage international banking transactions across multiple platforms.
  • Ensure financial compliance with Russian and international standards, working closely with accountants.
  • Maintain accurate financial records, tracking expenses and preparing executive-level reports.
  • Assist in drafting, reviewing, and managing contracts and legal documents.
  • Coordinate and submit financial and legal documentation in accordance with international business regulations.

Strategic Coordination & High-Level Representation

  • Represent the company at global forums, exhibitions, and executive-level negotiations.
  • Prepare executive briefings, reports, and business intelligence summaries to support high-level decision-making.
  • Manage the Executive Director’s professional social media presence and business networking activities.
  • Conduct in-depth research and competitive analysis, providing insights for market expansion and investment decisions.

Travel & Event Management

  • Organise complex international travel logistics, ensuring efficient and smooth business trips.
  • Handle VIP event coordination, securing high-level access for the executive team.
  • Take a proactive approach to problem-solving, ensuring seamless executive mobility and time management.

Confidential & Special Projects

  • Act as the executive’s gatekeeper, ensuring priorities are effectively managed.
  • Be available for urgent business matters outside standard working hours when necessary.

What It Takes to Succeed in This Role

Required Experience & Skills

  • Fluent in English and Russian (C1/C2) – mandatory (Spanish, French, German, or Arabic is a plus).
  • 5+ years of experience as an Executive Assistant, Business Assistant, or in a similar high-level administrative or financial role.
  • Strong financial acumen – experience with international payments, banking systems, and financial record-keeping.
  • Legal knowledge – experience with business contracts, corporate formation, and compliance regulations.
  • Advanced MS Office skills (Excel, PowerPoint, Outlook) – strong data handling and reporting ability.
  • Experience using online banking platforms for global transactions.
  • Ability to draft, review, and refine business documents, contracts, and presentations.
  • Understanding of international tax structures and corporate finance (preferred).
