Johnson & Johnson (MedTech division) is looking for a strong candidate for Multifunctional Center Specialist role based in Moscow.

  • Timely and high-quality processing of requests from internal clients for document flow with Johnson & Johnson contractors
  • Ensuring compliance with all internal document flow procedures
  • Ensuring the ability to quickly access the necessary information and documentation for MedTech sector employees
  • Entering contracts, appendices, and additional agreements into the Directum system for approval and processing
  • Entering contracts, appendices, and additional agreements into the ICD system
  • Timely creation of POs (purchase orders) in the Directum and eMarketplace systems
  • Checking the presence of a counterparty in the APEX system and the correctness of the counterparty’s data and details, creating a counterparty record in the APEX system or making adjustments based on the documents from the internal client
  • Creating an application in the HCC Life system based on correct and complete set of documents and information from internal client
  • Processing the created application in the HCC Life system and regular communication with internal client regarding the approval status
  • Timely transfer of a full set of correct documents for payment to the accounting department (Tax reconcilers and Cash Applications)
  • Communication with internal clients and contractors on the issue of forming and signing closing documents
  • Formation of a full package of closing documents for payment
  • Communication with internal clients and contractors on transferring the counterparty to electronic document management and setting up document exchange
  • Analysis and minimization of errors in the provided documents from internal clients
  • Timely completion of trainings
  • Timely provision of data to the financial department for the correct display of expenses
  • Timely sending of Notifications on requests status and completed offsets to internal clients
  • Updating data in internal trackers of incoming requests on a daily basis to ensure up-to-date information on the status of requests from internal clients (SharePoint)
  • Consulting internal clients on issues of payments and provision of documents
  • Processing requests on the provision of documents for audit
  • Interaction with the courier service on issues of sending and receiving documents
  • Involvement in work on projects to automate document management processes

Requirements:

  • Higher education (economics, finance or law)
  • At least 2 (two) years of work experience in a similar position in the field of management and optimization of internal administrative business processes
  • Аt least 2 (two) years of work experience in the field of document management (paper and electronic) and office work, database management
  • Knowledge of electronic document management systems and data management processes (including Kontur.Diadoc, 1C EDI, etc.)
  • Confident use of Microsoft Excel: ability to effectively analyze, process and visualize data using formulas and pivot tables
  • Confident skills in working with databases, document repositories and electronic catalogues – database management and data analysis using various analysis methods and programs
  • Knowledge of project management principles, experience in project management is desirable
  • Knowledge of English language – Intermediate level
  • Activity, dedication, communication skills, initiative, attention to detail, critical thinking, punctuality, independence, ability to work in multitasking mode and with a large number of documents/contractors/programs
