As an international British independent school in Almaty, we are looking for Admission Assistant.

Admission Assistant at Haileybury Almaty School shall provide administrative support to the Admission Manager. Admission Assistant must display a high degree of professionalism & diplomacy in dealing with the visitors, students, and staff, parents and outside partners.

RESPONSIBILITIES:

  • Greet and welcome guests/parents/staff as soon as they arrive at the school and accompany them to admissions office;

  • Prior to visit, provide basic school information via phone and direct parent to relevant part of website for further information;

  • Provide basic and accurate information in-person and via phone/email;

  • Check email and mobile phone messages regularly to ensure parent requests are responded to in timely manner;

  • Perform update operations on ISAMS/Firefly as required;

  • Collection, checking and logging on ISAMS of all accepted pupils;

  • Maintain the departmental archive;

  • Preparation of required documents for termination of contracts and Transfer certificates;

  • Registration of potential pupils for CAT4 testing and co-ordinating students during tests;

  • Arrange school tours for prospective parents and pupils;

  • Assist in organizing A Level scholarship programme;

  • Assist in organisation of Open Mornings;

  • Assist in preparation of welcome packs;

  • Efficiently manage and prioritise the complex demands of a wide range of duties and responsibilities;

  • Handle routine admissions tasks (printing application forms, track incoming calls etc);

  • Make translation from English into Russian/Kazakh and from Russian/Kazakh into English.

PERSONAL REQUIREMENTS

Essential Minimum Requirements

  • An understanding and ability to demonstrate practical support of the School ethos;

  • Be highly competent in the use of the English language and have the ability to compose letters and documents when necessary;

  • Be an efficient and effective administrator, with an ability to work well under the pressure of deadlines;

  • Possess excellent interpersonal and communication skills with school staff, pupils, parents and partners;

  • Possess self confidence and a willingness to accept responsibility;

  • Be a lateral thinker, able to negotiate and co-ordinate at critical times;

  • Ability to show flexibility when required;

  • Ability to demonstrate high levels of skill in people management with staff, students, parents and external stakeholders;

  • Ability to demonstrate high skill levels in computer software packages, including Word, Excel, PowerPoint, Outlook and the internet;

  • Be able to enthuse and inspire colleagues to create a positive collaborative working environment;

  • Be someone who enjoys the chance to participate in regular professional development;

  • Possess patience and flexibility when dealing with a range of situations and people, including the ability to respond to staff, student, parent needs.

Requirements:

  • Qualifications: high school diploma or equivalent.
  • Experience is desirable in Educational Sector.
  • Highly organized and proactive with excellent interpersonal skills, along with a keen eye for detail
  • Have excellent written and verbal communication skills, in English. IELTS 7.0 or above is desirable.
  • Be highly competent in the use of the English, Kazakh and Russian languages and have the ability to compose letters and documents when necessary

  • Experienced in using a mass mailing system to deliver email communications.
  • Proficient with Microsoft Office packages and have knowledge of running data reports from a database.
  • Used to working to demanding deadlines and are able to priorities tasks and projects
  • High competence in the use of various software packages such as Microsoft windows, Microsoft excel, Microsoft word and Microsoft PowerPoint, Outlook, Gmail and etc.

  • provided CV in English is preferable.
